Quotation එකක් කියන්නේ ඔයාගේ client වෙනුවෙන් ඔයා හදන official cost estimate එකකටයි. ඔයාගේ profits calculate කරලා පාරිභෝගිකයන්ට පැහැදිලි pricing එකක් දෙන්න පුළුවන් වෙන්න, මේකෙන් ඔයා save කරපු equipment pricing සහ site plans වල data එක එකම තැනකට එකතු කරලා දෙනවා.

Quotations Open කරගන්නේ කොහොමද?

ඔයා use කරන device එක අනුව ඔයාගේ quotes බලාගන්න පුළුවන් මෙන්න මෙතනින්:

Desktop

මේක ඔයාගේ Project Details screen එක ඇතුළෙම dedicated section එකක් විදිහට බලාගන්න පුළුවන්. ඒ වගේම add button එකට එහා පැත්තේ තියෙන Expand Icon එක (Diagonal arrows දෙකක් තියෙන button එක) click කරලා ඔයාගේ full quotations page එක වෙනම screen එකකින් open කරගන්නත් පුළුවන්.

Mobile

මේක Sales category link එක යටතේ වෙනමම clean page එකක් විදිහට open වෙනවා.

අලුත් Quotation එකක් Create කිරීම

අලුත් estimate එකක් පටන් ගන්න, තැඹිලි පාට + New Quotation button එක click හෝ tap කරන්න. එතකොට මේ options ඇතුළත් form window එකක් open වෙයි:

• Quotation Name: App එකෙන් automatic generate වෙන නමක් (උදාහරණයක් විදිහට P102Q01 වගේ).

• Select Site Plan(s): ඔයාට link කරන්න ඕන site maps වලට එහා පැත්තෙන් තියෙන boxes check කරන්න. Site plan එකක් link කරාම Quotation Assist feature එක active වෙනවා. ඒකෙන් ඔයා ඒ map එකේ ඇඳපු device types සහ route quantities ටික automatic count කරලා මෙතනට ඇදලා ගන්නවා.

• Valid Until: Calendar popup එකෙන් ඔයාගේ quote එක expire වෙන date එකක් තෝරන්න.

Quotation Statuses

Quotes ප්‍රධාන stages දෙකක් හරහා යනවා:

• Draft: Quote එකක් තවමත් build කරමින් හෝ update කරමින් පවතින වෙලාවට තියෙන initial status එක.

• Selected: Customer ඔයාගේ quote එක officially accept කරපු ගමන් status එක Selected විදිහට වෙනස් කරන්න.

ඔයාගේ quote එක save කරාම, ඒක ඔයාගේ main list එකේ පේන්න තියෙනවා. ඒ වගේම Dealer Total, Retail Total, සහ Projected Gross Profit වගේ data metrics ද බලාගන්න පුළුවන්.

Important Data Deletion Rule

Draft මට්ටමේ තියෙන quotes, ඔයාගේ active subscription plan එක මත පදනම් වුණු cleanup retention period එකකට පස්සේ automatic delete වෙලා යනවා.

Quick Actions List

ඔයාගේ list එකේ තියෙන හැම quotation row එකකම දකුණු පැත්තේ කෙළවරේම quick Actions icons සෙට් එකක් බලාගන්න පුළුවන්. Full page එක open කරන්නේ නැතුවම ඔයාගේ documents ක්ෂණිකව manage කරගන්න මේවායින් පුළුවන්:

• Eye (View) Icon: අදාළ quotation එකේ full breakdown dashboard එක open කරලා දෙනවා. ඒකෙන් ඔයාට items modify කරන්න සහ deep totals බලාගන්න පුළුවන්.

• Printer Icon: ඔයාගේ client වෙනුවෙන් PDF copy එකක් ලෑස්ති කරගන්න කෙලින්ම document print layout screen එකට ඔයාව අරන් යනවා.

• Trash Can (Delete) Icon: අදාළ project එකෙන් ඒ quotation එක සදහටම remove කරලා දානවා.

Important Note

Quotation එකක් delete කරොත් ඒක final. කිසිම හේතුවක් මත ඒක ආපහු undo කරන්න බැහැ.

Quote Interface එක Manage කිරීම

Eye (View) Icon එක click කරාම quotation එකේ main workspace එක open වෙනවා. මේ view එකේ මේ දේවල් ඇතුළත් වෙනවා:

• Header Controls: Status එක ඉක්මනින් Mark as Selected විදිහට වෙනස් කරන්න පුළුවන් toggle එකක්, Delete button එකක්, Print Quote button එකක්, සහ ප්‍රධාන + Add Item button එකක් බලාගන්න පුළුවන්.

• Financial Summary: ඔයාගේ Retail Total, Dealer Total, සහ Projected Gross Profit වල running totals පෙන්වන live summary cards උඩින්ම බලාගන්න පුළුවන්.

• Category Tables: ඔයාගේ items ටික hardware brackets (උදාහරණයක් විදිහට Camera, DVR/NVR, වගේ) වලට වෙන් කරපු පැහැදිලි rows. ඒ හැම table එකකටම වෙන් වුණු පොඩි, තැඹිලි පාට + Add button එකක් තියෙනවා. ඒකෙන් කෙලින්ම ඒ specific group එකට item එකක් add කරගන්න පුළුවන්.

Quotation එකකට Items Add කිරීම

Quote එකට materials, labor, හෝ transport add කරනකොට, data entry වැඩේ ලේසි කරන්න app එකෙන් window fields ටික මේ විදිහට update කරනවා:

1. Equipment & Hardware Items

ප්‍රධාන + Add Item button එක click කරාම ලොකු popup choice window එකක් open වෙනවා. එතනින් ඔයාට Custom Item check කරන්න හෝ Category Dropdown Menu එකක් පාවිච්චි කරලා ඔයාගේ hardware classification එක තෝරන්න පුළුවන්.

Pro Tip

ඔයා dashboard එකේ තියෙන specific hardware block table එකක් ඇතුළේ තියෙන කුඩා + Add button එක click කරොත්, app එකෙන් open කරන්නේ ඒ window එකමයි. හැබැයි එතකොට category dropdown field එක skip කරනවා, මොකද ඔයා add කරන්නේ මොන item table එකටද කියලා app එක දැනටමත් දන්න නිසයි.

මේ field tracking එක මේ standard item types හරහා වැඩ කරනවා:

• Camera, DVR/NVR, Storage, Network Devices, Power Supply, Video/Network Cable, Power Cable, Display Cable, Connectors & Adapters, Monitor, Mounting Accessories, Installation Hardware, සහ Other.

2. Quotation Assist Feature

Quotation Assist support කරන type එකක් (උදාහරණයක් විදිහට Camera, DVR/NVR, Cable Types, Installation, හෝ Installation Hardware වගේ) තෝරගත්තම, window එකේ dedicated breakdown block එකක් display කරනවා (උදාහරණයක් විදිහට Cameras from Site Plan වගේ). මේකෙන් ඔයාගේ linked map එකේ තියෙන components වල total count එක පෙන්වනවා වගේම, ඒවා නමින් (උදාහරණයක් විදිහට Cam 1, Cam 2, IP Cam වගේ) list out කරලා පෙන්වනවා. ඒ නිසා ඔයාගේ quantities සම්පූර්ණයෙන්ම accurate වෙනවා.

3. Logistics / Travel Items

ඔයාගේ logistics section එකට items add කරනකොට, form එකෙන් Internal Name, Display Name, Vendor, Quantity, Dealer Price, සහ Retail Price type කරන්න fields open කරලා දෙනවා. System එකෙන් ඔයාගේ financial totals automatic calculate කරලා දෙනවා.

4. Labor & Personnel Items

Labor window එක open කරාම ඔයා wages calculate කරන විදිහ අනුව toggle switch එකක් ලැබෙනවා:

• Select Employee (Off): සාමාන්‍ය Payment Type එකක් (උදාහරණයක් විදිහට Daily Wage වගේ) select කරන්න, ඔයාගේ general Personnel roles search කරන්න, සහ custom rates වගේම descriptions set කරන්න fields display වෙනවා.

• Select Employee (On): Form එක සරල කරලා එකම Select Employee dropdown line එකක් සහ specific staff member කෙනෙක් වෙනුවෙන් quick totals run කරන්න Days count box එකක් බවට පත් කරනවා.

5. Installation Items

Installation costs set කරනකොට, window එකේ Internal Name, Display Name, (Quotation Assist එකෙන් වැඩ කරන) Installation Devices from site plan display එකක්, Quantity counter එකක්, Amount box එකක්, auto-calculate වෙන Retail Total එකක්, සහ Warranty dropdown selection menu එකක් බලාගන්න පුළුවන්.

Quotation එකක් Print කිරීම

ඔයාගේ main quote list එකේ තියෙන Printer Icon එක click කිරීමෙන් හෝ quotation header එක ඇතුළේ තියෙන Print Quote click කිරීමෙන් ඔයාට Quotation Print page එක open කරගන්න පුළුවන්.

මේ screen එකෙන් ඔයාගේ final print layout එකේ live document preview එකක් පෙන්වනවා. Page එකේ උඩින්ම තියෙන Configuration button එක click කරාම dropdown box එකක් open වෙනවා. එතනින් ඔයාගේ client ට පේන විස්තර adjust කරගන්න පුළුවන්:

1. Print Settings Toggles

• Show Prices: Final client document එකේ item costs පෙන්වනවාද නැද්ද කියලා තීරණය කරන්න තියෙන toggle එක.

• Show Internal Names: Client-facing display names වලට එහා පැත්තෙන් internal product codes පෙන්වන්න තියෙන toggle එක.

• Aggregate Settings: ඔයාගේ document එක පුරා තියෙන විස්තර group කරලා clean කරගන්න මේ buttons toggle කරන්න පුළුවන්:

• Aggregate Installation Hardware, Aggregate Logistics / Travel, Aggregate Labor, සහ Aggregate Installation. මේවා turn on කරාම පොඩි පොඩි තනි items ලස්සනට combined line categories විදිහට group වෙනවා. එතකොට ඔයාගේ client ට පේන්නේ හරිම tidy final breakdown එකක්.

Smart Layout Saving

හැම සැරේම මේ switches re-configure කරන්න ඕන වෙන්නේ නැහැ! ඔයා මේ print setting toggles වලට කරන ඕනම වෙනසක් app එකෙන් automatic save කරගන්නවා. ඊළඟ වතාවේ ඔයා quotation එකක් print කරනකොට ඒ වෙනස්කම් ඔයාගේ default settings විදිහටම carry over වෙනවා.

2. Terms & Conditions (T&C) Link

ඔයා app එකේ Settings ඇතුළට standard Terms & Conditions document එකක් upload කරලා තියෙනවා නම්, “Terms & Conditions will be included” කියලා කොළ පාට text confirmation එකක් බලාගන්න ලැබෙයි. App එකෙන් automatic ඔයාගේ legal terms ටික quote එකේ පිටුපසට bundle කරලා දෙනවා. එතකොට main button එක බ්‍රයිට් තැඹිලි පාට Print Quotation + T&C action key එකක් බවට පත් වෙනවා.
